Privacy Policy
Last updated: 3 September 2026
This Privacy Policy explains how OhMyVisa (ohmyvisa.com.au) collects, uses, discloses and protects your personal information.
Browsing and Educational Tools — minimal data by design
You do not need an account or to provide personal details to read our articles, use our topic explorers, or access official resource links. When you use our educational information tools, the inputs you provide are processed temporarily to show you relevant information topics—they are not permanently saved to our servers unless you explicitly choose to carry them forward into a consultation booking. We do not build personal profiles for sale, nor do we track you across other sites. Like most websites, our servers automatically receive basic technical data (such as your IP address, browser type, and pages visited). We use this strictly for security, diagnostics, and performance, not to identify you.
To understand how our information pages are used and to improve them, we use PostHog, a first-party product-analytics tool hosted in the European Union. This includes usage analytics and session replay (a recording of on-page interactions such as clicks and navigation). Form input values are masked and are not recorded, we do not sell this data, and we do not use it to track you on other websites. PostHog sets cookies for this purpose — see “Cookies and analytics” below.
Consultation Requests and Intake Forms
If you choose to submit a consultation request or an intake form, we collect the details you provide. We may also store the referring page, campaign attribution, and basic browser information to operate the form effectively, prevent abuse, and understand our website traffic. We use the information solely for the purpose stated on the form.
Crucially, we do not silently send your detailed migration circumstances to anyone. If you request a consultation, we will only share your intake information with the specific, independently verified Registered Migration Agent or Australian Legal Practitioner that you select, and only after you provide explicit consent. This allows the independent professional to prepare for your consultation. OhMyVisa provides the booking technology and may receive a website or referral fee for facilitating this connection. We never sell your personal details, and we never share your data with anyone the consent text did not explicitly describe.
1. Information we collect
- Contact details: name, email address, phone number.
- Booking/intake information you provide: visa subclass/category, onshore/offshore status, refusal decision date, general reason category, preferred language, format and times.
- Payment-related information processed by our payment provider (see below).
- Technical and analytics data: device/browser information, IP address, and usage data via cookies and analytics tools.
We do not collect your refusal letter or supporting documents through the website — you provide those directly to your Registered Migration Agent (RMA).
2. Why we collect it
To arrange and confirm consultations, match you with an RMA, process bookings and payments, communicate with you, provide support, operate and improve the website, and meet legal obligations.
3. Who we share it with
- The Registered Migration Agent assigned to your booking, so they can prepare for and conduct your consultation.
- Stripe — payment processing (you pay the RMA's connected account directly via Stripe Connect).
- Google — video consultations (Google Meet) and calendar scheduling.
- Email delivery providers — to send booking and account emails.
- Analytics and advertising providers — to measure and improve the service.
- PostHog (EU-hosted) — first-party product analytics and session replay to understand and improve the website.
- Cloud hosting/infrastructure providers — to run the website.
- Others where required or permitted by law.
We do not sell your personal information. We do not claim "we never share your information" — sharing with your RMA and the service providers above is necessary to provide the service.
6. Cookies and analytics
The website uses cookies and similar technologies for functionality and analytics.
We use PostHog (hosted in the European Union) for first-party product analytics and session replay. This records how the website is used (pages viewed, clicks, navigation, approximate location from IP, device/browser) and replays of on-page interactions to help us improve the experience. PostHog sets cookies to do this. Form input values are masked and are not recorded in session replay. We do not sell this analytics data and do not use it to track you on other websites.
[Placeholder — if a cookie-consent banner is added, describe how to accept/decline analytics and session replay here. Consent for analytics/replay should be confirmed with legal counsel, particularly given the sensitivity of visa-refusal information.]
8. Access, correction and complaints
You may request access to or correction of your personal information, or make a privacy complaint, by contacting us. OhMyVisa will action it in line with the Australian Privacy Principles, normally within standard timeframes.
9. Security
We take reasonable steps to protect personal information from misuse, loss, and unauthorised access, including encryption in transit and access controls. No method of transmission or storage is completely secure.
10. Marketing
We only send marketing communications where you have consented, and you can unsubscribe at any time.
